# Budgets

Give employees and customers budgets, each with its own amount and expiry date. They redeem them in one click at checkout on Shopify Plus, and in Shopify POS

<figure><img src="https://1743155819-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6HSAZj4RDucpQwVtzMYt%2Fuploads%2Fgit-blob-4bfdc759748d04eea1a47872fa6ca39ceb70ab05%2Fhero-team-budgets.jpg?alt=media" alt="Team Budgets in Shopify POS: a Teamwear allowance with 60.00 left of 100.00, and the budgets a staff member sees at the counter"><figcaption></figcaption></figure>

Budgets put named amounts on a person's Shopwaive account, each with its own expiry date. Give each employee an allowance or a uniform budget, or give customers a promotion that ends on a set date. At checkout, the person sees a list of their budgets and clicks **Redeem** on the one to use. Nobody types a code.

Set up in 3 steps:

1. **Turn on Budgets.** In Shopwaive, open **Settings** > **Checkout**. Turn on **Budgets**, then click **Turn on Budgets** in the window.
2. **Add the Redeem block to your checkout.** In Shopwaive, open **Extensions**. On the **Redeem in checkout** row, click **Add in editor**, add the block and click **Save**.
3. **Give budgets.** In Shopwaive, open **Customers**. On a person's row, click **...**, then **Adjust balance**, then **Create budget**. Enter an amount and a name, then click **Create**.

<figure><img src="https://1743155819-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6HSAZj4RDucpQwVtzMYt%2Fuploads%2Fgit-blob-4a244fe58204e02da726dd69a6f57f89aa7f2aeb%2Fdiagram-budgets.svg?alt=media" alt="How a budget works: you give a budget with a name and an amount, for one person or a segment, with an expiry date if you like; they see it where they pay, at checkout when signed in or in Shopify POS on the Shopwaive tile, and after its expiry date it can no longer be redeemed; they press Redeem on the budget to use, with no code to type; it lands in the month-end file, one row per budget per order, with totals by PO"><figcaption><p>How a budget works</p></figcaption></figure>

**Where budgets can be redeemed:**

* **Online checkout:** Shopify Plus. Shopify lets apps add blocks to the checkout steps only on Shopify Plus.
* **Shopify POS:** every paid Shopify plan, with Shopwaive's **Account** tile. Shopify POS Pro is not needed. See [Shopify POS](/shopify/shopify-pos.md).

At checkout, budgets show to people who are signed in with the email address their budget was given to.

## Step 1: Turn on Budgets <a href="#step-1-turn-on-budgets" id="step-1-turn-on-budgets"></a>

1. In your Shopify admin, open **Apps** > **Shopwaive** and click **Settings**.
2. Open **Checkout**. Under **Budgets**, turn on the switch.
3. A window lists what changes. Click **Turn on Budgets**. Nothing changes until you click it, and **Cancel** leaves Budgets off.

<figure><img src="https://1743155819-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6HSAZj4RDucpQwVtzMYt%2Fuploads%2Fgit-blob-9d0f59aa7686e19f4bfeaff67d548418c26e6c23%2Fapp-settings-checkout.jpg?alt=media" alt="Shopwaive Settings, Checkout: How customers spend online, Budgets and Gift Cards"><figcaption><p>Settings > Checkout</p></figcaption></figure>

With Budgets on:

* At checkout, people see a list of their budgets, each with its own **Redeem** button, in place of one **Redeem** for their whole balance. In Shopify POS, the Shopwaive tile opens the same list, and staff tap the budget to use.
* Balance that is not held in any budget is not shown at checkout or in Shopify POS, so it cannot be redeemed there. The window also tells you how many of your customers hold balance like this today.
* Each budget keeps its own expiry date. **Expiration** under **Settings** > **Balances** is set to **Multiple expiry dates**, and stays that way while Budgets is on.
* The heading above the list at checkout becomes **Your budgets**, unless you already set your own heading. You can change it in **Checkout section label**.
* A **Budgets** link appears in the Shopwaive menu. See [The Budgets pages](#the-budgets-pages).
* Cash out at checkout is not offered.

{% hint style="info" %}
If your store runs a Shopwaive loyalty program, read the yellow note in the window. It shows when loyalty rewards cannot be redeemed at checkout or in Shopify POS while Budgets is on. Points still earn and show
{% endhint %}

## Step 2: Add the Redeem block to your checkout <a href="#step-2-add-the-redeem-block-to-your-checkout" id="step-2-add-the-redeem-block-to-your-checkout"></a>

On Shopify Plus, add the **Redeem** block once:

1. In Shopwaive, open **Extensions**. On the **Redeem in checkout** row, click **Add in editor**. Shopify's checkout and accounts editor opens at the Shopwaive blocks.
2. Next to **Redeem**, click **+**, then choose **Checkout**.
3. Click **Save**.

<figure><img src="https://1743155819-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6HSAZj4RDucpQwVtzMYt%2Fuploads%2Fgit-blob-7527283a934820b98c2cb40ed55c78de2bbe3f21%2Fcheckout-editor-apps-redeem.png?alt=media" alt="Shopify&#x27;s checkout and accounts editor, the Apps sidebar, with Shopwaive&#x27;s Redeem block and its + button"><figcaption><p>In Shopify's checkout editor, Apps: click + next to Redeem</p></figcaption></figure>

See also [Redeem at checkout](/shopify/extensions/redeem.md) and Shopify's [Customizing your checkout and customer accounts with apps](https://help.shopify.com/en/manual/checkout-settings/customize-checkout-configurations/checkout-apps).

To redeem budgets in person, add Shopwaive's **Account** tile to your Shopify POS smart grid. See [Shopify POS](/shopify/shopify-pos.md).

## Step 3: Give budgets <a href="#step-3-give-budgets" id="step-3-give-budgets"></a>

### One person, or everyone in a segment

1. In Shopwaive, open **Customers** and find the person. On their row, click **...**, then **Adjust balance**. If a banner reads **Shopwaive account not yet initialized**, click **Initialize account** first.
2. Click **Create budget**.
3. Enter the **Budget value**.
4. In **Budget recipient**, keep **This customer only**. To give the same budget to a group, such as your employees, choose **Customers within a segment**, then choose the segment in **Segment query** (make it first in Shopify under **Customers** > **Segments**, for example `customer_tags CONTAINS 'employee'`). The list starts on your first segment: check it before you click **Create**. Each customer in the segment gets their own budget.
5. Enter a **Budget name**, for example `Uniform allowance`. People see the name at checkout. It can be up to 32 characters.
   * Optional: tick **Set budget expiration date** and pick a date after today.
6. Click **Create**.

The budget is added at once. To add it on a later date, click **schedule a deposit** under **Budget recipient**, tick **Schedule budget deposit** and pick the date. The expiry date must be after that date.

### Many people at once

1. In Shopwaive, open **Customers** and click **Import**.
2. Choose **Increment customer Shopwaive balances**, keep the import target **Shopwaive balances**, then click **Download the CSV import file**.
3. Add one row for each budget: the person's **Email**, the amount in **Increment**, the budget's name in **Note** and, if it expires, the date in **Expiry**. Then add the file and click **Import**.

Before the import, Shopwaive checks the file and shows anything it tidied or needs you to answer. The import creates a Shopify customer for each email address that has none. See [Import accounts](/shopify/customers/import-accounts.md#increment-balances-using-the-increment-column).

{% hint style="info" %}
An **Assign** import does not create budgets: it sets each customer's total balance
{% endhint %}

### From your own system

Use the Customer `PUT` [endpoint](https://api.shopwaive.com/reference/rest-api-documentation/customer-api#put-customer-endpoint) of the Shopwaive API to create a budget. The API site lists its fields, such as the note that people see at checkout and the expiry date.

## What people see <a href="#what-people-see" id="what-people-see"></a>

* **At checkout:** each budget with its name, amount and expiry date, and a **Redeem** button. Nobody types a code.
* **In Shopify POS:** staff add the customer to the cart, tap the Shopwaive tile and tap the budget to use.
* After its expiry date, a budget can no longer be redeemed.

On Shopify Plus, with the Gift Cards Extension on, people can redeem their budgets as gift codes. See [Gift codes at checkout](/shopify/extensions/extend-with-gift-codes.md).

## The Budgets pages <a href="#the-budgets-pages" id="the-budgets-pages"></a>

With Budgets on, **Budgets** in the Shopwaive menu has two tabs.

### Overview

**Overview** shows what each budget holds, what ends soon and what employees received this month: **Held now**, **Expires in the next 30 days**, **Given** this month and **Employees with a budget**, then the same figures **By budget** with each budget's PO number. **About these figures** explains how each is counted.

<figure><img src="https://1743155819-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6HSAZj4RDucpQwVtzMYt%2Fuploads%2Fgit-blob-eee9533461fed5c822f1f61a710a881c59ce9964%2Fapp-budgets-overview.jpg?alt=media" alt="The Budgets overview: Held now, Expires in the next 30 days, Given this month and Employees with a budget, then a table by budget"><figcaption><p>Budgets, Overview</p></figcaption></figure>

### Month-end and POs

**Month-end and POs** holds the file your accountants need and the PO number of each budget.

**Make the month-end file:**

1. Open **Budgets**, then **Month-end and POs**.
2. Under **Month-end export**, choose the **Month**, or turn on **Custom date range**.
3. Click **Generate**.

The file lists every order paid from a budget in the month, one row per budget per order, refunds as negative rows, and totals by PO.

**Add or change a PO:**

1. Under **Add or change a PO**, enter the **Budget name** exactly as on the budget, and the **PO number**.
2. Choose when it **Takes effect**.
3. Save it. Saving adds a version: orders keep the PO that was in force when they were placed.

<figure><img src="https://1743155819-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6HSAZj4RDucpQwVtzMYt%2Fuploads%2Fgit-blob-63407f7b158194ef5574ae483633cbdcb5fc871e%2Fapp-budgets-month-end.jpg?alt=media" alt="Month-end and POs: Month-end export with the Month and Generate, then PO numbers by budget"><figcaption><p>Budgets, Month-end and POs</p></figcaption></figure>

## More settings <a href="#more-settings" id="more-settings"></a>

With Budgets on, more settings show under **Budgets** in **Settings** > **Checkout**. Change them, then click **Save** in the bar at the top of the page.

* **Checkout section label:** the heading above the budgets at checkout. Type `{firstName}` to greet the person by first name, for example `Hi {firstName}, here are your budgets`.
* **Multiple budget redemption:** turn it on to let people use more than one budget on the same order. Left off, each order uses one budget.
* **Budgets media:** turn it on to show an image beside each budget at checkout. Each budget shows your logo, unless you choose **Define custom media url** in **Budget media** when you create it.
* **Group budgets by similar name:** leave it empty to list every budget on its own line (the default).
* With the Gift Cards Extension on: **Partial budget redemption**, **Shipping budget redemption** and **Budget reference ids**.

To show one budget, the one added to the person's account first, with the rest one click away (**Showing 1 of 3**), open **Extensions** in the Shopwaive menu and click the **Redeem** row. Under **Budgets**, turn on **Fold the list to the first budget**, then click **Save**. This is handy when people hold 3 or more budgets.

## Change or delete a budget <a href="#change-or-delete-a-budget" id="change-or-delete-a-budget"></a>

On the person's account in Shopwaive (on their row in **Customers**, click **...**, then **Adjust balance**), the **Budgets** list shows each budget with **Delete**, **Copy ID** and **Duplicate**.

* **Duplicate** opens **Create budget** with the same name, value, media and expiry date. Change what you need, then click **Create**.
* **Delete** takes the budget's amount off the balance at once. It cannot be undone.

To change a budget's name, expiry date or image, use the [Action API](https://api.shopwaive.com/reference/rest-api-documentation/action-api). To change its amount, click **Duplicate**, enter the new value and click **Create**, then delete the old budget.
